A packed gym floor feels like a good sign, but attendance alone doesn't tell you whether your membership base is actually growing, shrinking, or just churning through new sign-ups to replace the ones who leave. A handful of simple numbers, tracked monthly, give a far more honest picture of where the business actually stands.

1. Renewal rate

Of the memberships that expired this month, what percentage renewed? This is the single most important number for a membership-based business - a low renewal rate quietly erodes revenue even while new sign-ups make things look healthy on the surface.

2. Churn rate

The percentage of members who leave in a given period, usually tracked monthly. Rising churn is often the earliest warning sign of a problem - whether it's pricing, facility issues, or simply members not feeling followed up with - well before it shows up in your monthly revenue.

3. New admissions vs. lapsed memberships

New sign-ups can mask a shrinking member base if you're not also tracking how many memberships lapsed in the same period. A gym adding 20 new members a month while losing 25 is still shrinking, even though the front desk feels busy with new admissions.

4. Plan popularity

Which membership plans members actually choose - and which ones barely sell - tells you where to focus. A plan that consistently underperforms may be priced wrong, poorly explained at sign-up, or simply not something your members want.

5. Pending dues

Outstanding balances across active memberships are easy to lose track of without a single view of who owes what. Left unchecked, pending dues quietly become revenue you never collect.

6. Revenue by plan, not just total revenue

Total monthly revenue is useful, but breaking it down by plan shows you which memberships are actually driving growth and which are barely contributing - information a single top-line number can't give you.
